Use case
Help-center links and standard answers, one double-tap away
Support work means answering the same questions across many different tools. OnePaste keeps your saved replies and links in one searchable library on your Mac.
A customer on live chat asks where their order is. Another, on WhatsApp Web, wants to know the refund window. A third replies to an email thread asking how to reset their password. You know every answer. The help-center article is open in one of your thirty tabs, the refund wording is in a doc somewhere, and the order-status link is buried in yesterday’s Slack.
Your help desk’s macros cover the help desk. Canned responses on Mac that work in every app cover everything else.
The questions support agents answer all day
- Help-center article links: password reset, shipping times, account setup
- The refund and returns policy, as a link and a short summary
- The order-status or tracking page link
- Standard answers: “we’re looking into it”, “this is fixed now”, “here’s how to escalate”
- Status page and known-issue links during an incident
- Contact details for billing or a partner team
Building a saved replies library
| Collection | Example snippets |
|---|---|
| Help center | Password reset (help.example.com/reset), Shipping times, Account setup |
| Policies | Refund policy link, Refund summary, Returns address |
| Orders | Order status page (example.com/orders), Tracking help |
| Replies | Looking into it, Fixed now, Escalation note, Closing thanks |
| Incidents | Status page, Known issue: login delays, Incident update |
If your team keeps these in a Google Sheet or Notion page, copy the rows and use OnePaste’s import: each “Label : text” line becomes a snippet. Then add aliases that match how customers phrase things. Give the refund summary “money back” and “return”, and the order-status link “where is my order”. Tag every incident reply with “incident” so one search shows the whole set.
Support workflows, step by step
Answer “where is my order?” in live chat
- Type “Hi, thanks for reaching out.” in the chat box.
- Double-tap ⌥ ⌥. The overlay appears next to your cursor.
- Type
orderand press Return to paste your tracking help text, then add the customer’s order number by hand.
Send the refund policy in an email
Double-tap ⌥ ⌥ and type refund. You’ll see both the summary and the link. Use ↓ to choose and Return to paste. Need both? Paste one, double-tap again and paste the other. Your clipboard is restored after each paste, so the customer’s email address you copied a moment ago is still there.
Keep up during an incident
During an outage, the same few replies go out again and again. Double-tap ⌥ ⌥ and type incident to narrow the list, then press ⌘ 1, ⌘ 2 or ⌘ 3 to paste the one you want. The first nine rows always have these number shortcuts, and the items you use most rank higher in search as the day goes on.
Saved replies next to your support macros
Most help desks have their own macros, and inside that tool they’re the right choice, especially when they need ticket fields. OnePaste is for conversations that happen outside it: Slack channels with customers, WhatsApp Web, community forums, social DMs, Gmail in Chrome, a quick answer to a colleague. It works there because the overlay never steals keyboard focus, so pasting works in browsers and Electron apps as well as native ones.
- Nothing to memorize. There are no abbreviations to remember; you search and pick. Our TextExpander comparison explains when abbreviation-based tools are the better fit.
- Clean pastes. Snippets are plain text, so they take on the look of the chat or email they land in. For more on that, see how to paste without formatting on Mac.
- Screen-share safe. The overlay is excluded from screen sharing and recordings, which helps during co-browsing or training sessions.
- Private. Your library is a file on your Mac. No account, no cloud, no tracking.
Each agent keeps their own library; there’s no team sharing or sync, so a shared import list is the easiest way to give everyone the same starting set. Recruiters deal with a similar flood of repeated questions, and the recruiters and HR setup shows how they handle it. OnePaste is a one-time purchase; see pricing and the full list of features.
Frequently asked questions
How do I create canned responses on a Mac?
Save each reply once as a snippet in OnePaste. Then, in any app, double-tap the Option key, type a few letters, and press Return to paste it where you’re typing.
Can OnePaste insert the customer’s name or order number automatically?
No. OnePaste pastes plain text exactly as saved, with no variables or dynamic fields. Type personal details like names and order numbers yourself.
Does OnePaste replace my help desk’s macros?
It complements them. Use your help desk’s macros inside the help desk, and OnePaste for saved replies in Slack, email, WhatsApp Web, forums and everywhere else.
Can I share saved replies with my support team?
There’s no team sharing or sync. Each agent keeps a library on their own Mac, and importing a shared list gives everyone the same starting set quickly.
Does OnePaste work in Chrome and Electron apps?
Yes. The overlay never steals keyboard focus, so pasting works in Chrome, Slack, Gmail and other browser and Electron apps, as well as native Mac apps.
